Aetna Credentialing for Therapists

Aetna's own steps for behavioral health providers, in order, and the points where therapy practices most often get stuck.

Getting credentialed with Aetna as a therapist or behavioral health practice starts with a request for participation, not with credentialing. Aetna first decides whether it needs another clinician in your area; only then does it contract and pull your credentialing data from CAQH ProView. Knowing that order, and the few places it stalls, is most of the work. This page follows Aetna's own published steps, as of October 2026.

Aetna's four steps, in order

Aetna's Request to join the Aetna network page sets out the process:

  1. Request participation. Complete Aetna's online request for participation form. Medical and behavioral health professionals, physician or non-physician, use the same medical and behavioral health form.
  2. Aetna checks network need. Aetna evaluates the current need to serve its members in your area and decides whether contracting and credentialing are required. Its FAQ says it reviews each request against its current network in that geographic area, based on state law.
  3. Contracting, then credentialing. After contracting, and if credentialing applies, Aetna takes your credentialing application from CAQH ProView.
  4. Contract finalized. When credentialing is complete, the contract is finalized and welcome materials follow.

Aetna's page says it makes a decision within 60 days of the request. If the panel is open and Aetna intends to contract, a network manager contacts you to start formal credentialing. If the panel is closed, or Aetna does not intend to contract, you are told by letter or email that the request is denied. Aetna currently routes requests through a partner, 3Won, and its ProVault portal for the contracting and credentialing steps.

Individual or group: choose the right request

The request form asks whether you are an individual provider or a group. Aetna's page warns that a group request filed under an individual (Type 1) NPI is denied automatically, and that individual NPIs need the individual request form. For a therapy group, that usually means one request for the group under its organizational (Type 2) NPI and the practice's tax ID, and individual requests for each clinician who will be linked to it. Decide this before you file, because a denied request has to start again.

CAQH is where Aetna credentialing actually happens

Aetna's FAQ is direct: Aetna uses CAQH ProView for credentialing and recredentialing of all health care professionals. If you are not registered, a CAQH registration kit arrives within 10 business days of your Aetna request. Then you register, complete the profile, and authorize Aetna to see it. Two things to get right:

  • Authorize Aetna by name if you chose to authorize organizations one at a time.
  • Keep the profile attested. CAQH asks for re-attestation every 120 days (every 180 days in Illinois), per its provider quick reference guide. An application that reaches Aetna's credentialing team while your attestation has lapsed sits until you fix it.

Our CAQH ProView help page walks through setup and the common errors.

Credentialing is not contracting

Aetna's FAQ makes the distinction twice: credentialing happens before you join the network and is separate from network contracting, and both have to be complete before you are an Aetna network provider. Once credentialing finishes you receive a written notice, and your network management contact helps you complete contracting. Do not schedule Aetna members as in-network until you hold the signed contract and know your effective date.

Aetna says its standard contract generally includes its plans, and that contracts generally renew automatically. Medicare Advantage and Medicaid plans can be handled differently: Aetna lists a separate phone line for Medicare Advantage questions, and its Medicaid plans, branded Aetna Better Health, run their own state-specific provider enrollment. Medicaid plans also generally require state Medicaid enrollment first.

Checking status

For an application already in progress, Aetna's FAQ says providers outside Missouri should call its customer service line for medical and behavioral health, 1-800-353-1232, for a credentialing status update. Keep the date you submitted the request, the CAQH ID and the tax ID in front of you when you call, and note the name and date of each call.

Where Aetna credentialing stalls for therapy practices

  • Closed panel. The request is denied for network need. Asking again later, or applying for a different location, may give a different answer.
  • Wrong request type for an individual or a group NPI.
  • CAQH not authorized or not attested, so the credentialing team cannot read the file.
  • Seeing members before the effective date because credentialing approval was mistaken for the contract.
  • Mismatched details: the practice name or address on the request differs from NPPES or CAQH.

How Sterling Global Solution LLC handles Aetna credentialing

We file the request for participation with you, set up and attest CAQH, authorize Aetna, follow the request through contracting and credentialing, and confirm the effective date in writing before Aetna members are billed in network. The same order of steps applies to other plans; see our guides to Cigna and Evernorth behavioral health credentialing, Optum behavioral health credentialing and credentialing services for therapists. New billing clients get credentialing with 3 insurance payers at no cost.
