1. Who we are

Sterling Global Solution LLC is a Wyoming-registered company providing AI-assisted medical and dental billing and revenue cycle management services to U.S. healthcare providers.

2. Two very different kinds of data

It's important to separate these, because they're governed differently:

• Website visitor data — information collected when you browse this site or fill in a form. Covered by this policy.
• Protected Health Information (PHI) — patient data we process on behalf of a client practice. Governed by HIPAA and by the Business Associate Agreement (BAA) signed with that practice, not by this policy.

If you are a patient of one of our client practices, we process your information only under our BAA with that practice. Please contact your provider directly with any request about your records.

3. Information we collect from website visitors

Information you give us

• Name and contact person
• Practice or organization name
• Work email address and phone number
• Specialty, EHR/PMS system, claim volume
• Anything you type into a form or into our AI assistant

Please do not submit patient information (PHI) through our website forms or AI assistant. These channels are not intended for PHI.

Information collected automatically

• Pages visited, time on page, referring source
• Approximate location (country/city level, from IP address)
• Browser and device type
• Interactions with the page (clicks, scrolls, form interactions)

4. Analytics and tracking tools we use

We use two third-party tools to understand how the site is used:

These tools use cookies and similar technologies. You can block cookies through your browser settings, or use browser extensions that block analytics scripts. The site will still work.

5. How we use your information

• To respond to your enquiry or consultation request
• To prepare a billing audit or proposal for your practice
• To contact you about our services (you can opt out at any time)
• To improve the website and understand what visitors find useful

6. What we never do

• We never sell your data. Not to anyone, for any price.
• We never sell or share PHI. Client patient data is used solely to perform billing services for that client.
• We do not use client PHI to train AI models serving other clients.
• We do not send unsolicited marketing to lists we didn't collect ourselves.

7. Who we share information with

We share limited data only with service providers necessary to operate:

• Analytics providers (Google, Microsoft) — as described above
• Our form-processing provider, to deliver your enquiry to us
• Email and hosting providers
• Law enforcement or regulators, where legally required

8. Data retention

Enquiry and contact data is kept for as long as needed to respond and maintain our business relationship, and then for a reasonable period for record-keeping. Analytics data is retained according to the default retention settings of Google Analytics and Microsoft Clarity.

PHI retention is governed by the BAA with each client practice and by applicable law.

9. Security

• Data encrypted in transit (TLS) and at rest
• Role-based access — staff access only what their work requires
• Access to PHI is logged and attributable to named individuals
• All team members are HIPAA-trained

No system is perfectly secure, and we will not pretend otherwise. We take reasonable and appropriate measures, and we will notify affected parties promptly if a breach occurs, as required by law.

10. International data handling

We are transparent about this: our billing and coding operations team works from Ahmedabad, India. Website enquiry data and, for client practices, PHI, may therefore be accessed by our team in India.

All such access is encrypted, role-restricted and logged, and our Business Associate Agreement expressly covers our entire team, including staff outside the United States. If this is material to your decision, please raise it with us before signing — we would rather discuss it openly than have you discover it later.

11. Your rights

You may request that we:

• Tell you what information we hold about you
• Correct information that is wrong
• Delete your information
• Stop contacting you

12. Children

This website is intended for healthcare businesses. We do not knowingly collect information from anyone under 18 through this site.

13. Changes to this policy

If we change this policy materially, we will update the date at the top of this page. Continued use of the site after a change means you accept the updated policy.
