How insurance billing works inside TherapyNotes
TherapyNotes includes electronic billing. Its help center describes the pieces as follows:
- Electronic claims (EDI): you can submit both in-network and out-of-network claims electronically through the TherapyNotes clearinghouse, and track each claim from submission through payment posting in one place.
- Clearinghouse: TherapyNotes and its clearinghouse, CLAIM.MD, support claim submission to over 2,800 payers nationwide.
- When a claim is ready: claims are ready to be submitted when a clinician has completed and signed a billable note for a client who is set up to bill insurance.
- ERA: electronic remittance advice is the digital version of the paper explanation of benefits, routed directly into your TherapyNotes account. You must enroll with each payer you want ERA from, and most payers require additional paperwork to enroll.
- Real Time Eligibility (RTE): checks a client's eligibility and benefits from inside TherapyNotes, once the practice is enrolled in RTE with that payer.
- Secondary claims: both primary and secondary claims can be submitted electronically.

How we get access: the Practice Biller role
TherapyNotes has a role designed for exactly this. Its guide to user accounts and roles says a Practice Biller has full access to billing in TherapyNotes. Practice Billers are able to generate and track claims, enter payments and run billing reports, and they have access to all clients in the account, although they are not able to see clinical notes.
That last point matters to most therapists. Your billing team sees what a claim needs, such as the client, the payer, the date of service, the service code and the diagnosis, and does not open your session notes. The help center lists the Practice Biller role as the one required to submit electronic claims, to receive ERA, to post ERA payments and to run the Insurance Aging Report.
TherapyNotes also has a narrower role, Biller For Assigned Patients Only, for a clinician who handles billing for their own clients. Its guide notes that this role cannot submit claims to insurance or access practice-wide billing reports, so it is not the one an outside billing team uses.
What we do inside your TherapyNotes account
Before the visit
- Check that the client's name, date of birth and insurance details are complete.
- Run Real Time Eligibility where your practice is enrolled with the payer, and call the payer where it is not.
- Obtain and track prior authorizations where the plan requires them.
Claims
- Complete claim, ERA and eligibility enrollments with each payer, including the payer paperwork.
- Review the Submit Electronic Claims list and send every claim that has a signed note behind it.
- Tell you which sessions are waiting on a note, so finished work is not sitting unbilled.
- Submit secondary claims after the primary payer has processed.
After submission
- Rejections: TherapyNotes advises practices that submit electronic claims to check the Electronic Claim History frequently for rejections from the clearinghouse or payer. We check it every working day, fix the cause and resubmit claims marked Pending Resubmit.
- Payments: TherapyNotes scans each ERA and suggests how to allocate the payment, and the user keeps control of posting. We review each suggestion against the claim before accepting it, and enter payments that arrive on paper.
- Denials: we read the payer's reason, call the payer when it is unclear, and send the corrected claim or appeal. See why mental health claims are denied.
- Aging: we work the Insurance Aging Report, which tracks outstanding balances from insurance payers and can be exported as a spreadsheet, so no claim ages out unnoticed.
