SimplePractice billing services means a billing team that works inside your own SimplePractice account, under a billing role you assign, so claims, payments and follow-up all stay in the system your practice already uses. Sterling Global Solution LLC checks coverage, files primary and secondary claims, fixes rejections, works denials with the payer and reconciles Payment Reports, while your clinicians keep writing notes and seeing clients exactly as they do today.

How insurance billing works inside SimplePractice

SimplePractice has insurance billing built in. Its help center describes the moving parts this way:

  • Clearinghouses: SimplePractice works with a variety of clearinghouses. When a claim is submitted, the clearinghouse checks it for errors or missing information before sending it to the payer.
  • Enrollments: an enrollment tells a payer you will file electronically or receive electronic Payment Reports through SimplePractice. Most payers do not require an enrollment to file claims electronically, but an enrollment is always required to receive Payment Reports.
  • Enrollment is not credentialing: you need to already be credentialed with a payer for that payer to approve your enrollment. Enrollments go through clearinghouses and can take several weeks to process.
  • Payment Reports (ERAs): electronic versions of EOBs. Once you are enrolled, claim statuses update automatically and insurance payments are recorded in your account.
  • Insurance status checks: a request to the client's payer that shows whether coverage is active before you file. What comes back depends on the payer, and some payers are not connected.

The software handles the transmission. Someone still has to decide what goes on each claim, read what comes back, and pick up the phone when a payer says no. That is the part a billing service takes over.

How we get access: the practice biller role

You do not hand over your login. SimplePractice has an administrative role built for this, the practice biller. According to its roles guide, practice billers have limited access to all client profiles and can manage billing documents, payments, billing reports and payroll for all clients. The listed billing permissions include:

  • Edit clients' billing info and service fees
  • Create billing documents
  • Add client payments and insurance payments
  • File insurance claims
  • View Payment Reports and request coverage reports
  • Refund payments, and view the financial dashboard and reports

Practice billers can also view the calendar and client diagnoses, which a claim needs. Viewing or creating chart notes is not part of the role by default. It is an additional permission that the account owner can choose to grant or withhold.

Two practical points from the same guide: adding team members is only available on the Plus plan, and the practice biller role is free. If you are on another plan, we will tell you before you change anything.

What we do inside your SimplePractice account

Before the visit

  • Enter and check insurance details, then request an insurance status check to confirm coverage is active.
  • Call the payer or use its portal when a status check is not supported for that payer.
  • Obtain and track prior authorizations where the plan requires them.

Claims

  • Submit enrollments for claim filing and Payment Reports, and follow each one until it is accepted.
  • Create and file primary claims, singly or in batches.
  • File secondary claims. SimplePractice supports primary and secondary claims electronically; its help center notes that tertiary claims are filed directly with the payer.

After submission

  • Rejections: a rejected claim was not accepted by the payer. We correct the member ID, payer or provider detail that caused it and resubmit.
  • Denials: a denied claim was processed, then not paid. SimplePractice's own guidance is that the quickest way to resolve a denial is to contact the payer directly, so we make that call, get the correction instructions and send a corrected claim or an appeal.
  • Stuck claims: SimplePractice notes that if a claim has no update after 30 days, a processing issue may be keeping it in the Accepted or Received status. We follow up with the payer using the Payer Claim number.
  • Timely filing: when a claim filed on time is denied as late because of a clearinghouse issue, we request proof of timely filing through SimplePractice and send it to the payer.
  • Payments: we review each Payment Report, post payments that arrive by paper EOB, and reconcile client balances.
